👋 Welcome, Vendor!

Uganda One Festival 2026 is one of the largest creative and cultural celebrations in the country. As a vendor, you'll have direct access to thousands of attendees — buyers, fans, decision-makers, and community members from across Uganda and the region.

This guide walks you through everything: how much it costs, what you need to bring, how to pay, and what to expect from application to festival day.

Application fees vary by vendor type and booth size. Fees are paid after application submission but before review — your application is only evaluated once payment is verified.

💡 Fee covers: booth allocation, festival accreditation passes, electricity hookup (where available), basic security in common areas, listing in the official vendor directory, and access to vendor briefing sessions before the event.
📝 Fee does NOT cover: tables, chairs, tents (you bring your own or rent from our recommended suppliers), insurance, electricity beyond standard hookup, food/drink for your staff, or transportation of goods to/from venue.

All vendors must comply with relevant Ugandan regulations. These ensure attendee safety and protect your business.

Food vendor compliance is non-negotiable. We will conduct on-site inspections in partnership with public health authorities. Vendors without valid documentation will not be allowed to operate.

⏱️ Application Process — Step by Step

From application to festival day, here's exactly what happens.

  1. Submit your application Fill out the vendor form at https://www.ugandaonefestival.com/register/vendor/ — takes 10–15 minutes. You'll get a tracking number instantly.
  2. Receive your tracking number & payment instructions Within seconds, you'll get an email and SMS with your unique reference (e.g. VND-2026-A8K3M), the application fee, and a direct payment link.
  3. Pay your application fee Use Bank, Airtel Money, MTN MoMo, or visit our office. Submit transaction details at https://www.ugandaonefestival.com/register/pay.php — upload a receipt photo if asked.
  4. Payment verified by our team (1–3 business days) We match your payment against our records. You'll be notified by email when it's confirmed.
  5. Application reviewed (3–7 business days after payment) Our committee evaluates fit, capacity, and compliance. You'll be notified of the decision.
  6. If approved: confirm attendance within 14 days Click the link in your invitation email to lock in your spot. We'll send a reminder if needed.
  7. Upload compliance documents Food vendors: health certificate, food handler permits, trade licence. All vendors: liability waiver, fire safety acknowledgment.
  8. Receive your stall allocation You'll get an official invitation card with your booth code, QR pass, and setup instructions.
  9. Festival day setup & operations Arrive at the scheduled setup time. Scan your QR pass at entry. Find your assigned booth. Operate within agreed hours. Have fun!

📜 On-Site Rules

A few practical rules to keep everyone safe and the festival running smoothly:

✅ Setup & breakdown

  • Setup window: 06:00–10:00 on festival day. Vehicles must be cleared from venue by 09:30.
  • All vendors must be set up and ready by 10:30. Latecomers may forfeit their spot without refund.
  • Breakdown only after closing time (typically 22:00) — early breakdown disrupts the experience for others.

📐 Booth conduct

  • Stay within your assigned area — no spillover into walkways or neighbours.
  • No amplified sound from individual booths unless pre-approved (interferes with main stages).
  • Keep your booth and surroundings clean. Bin liners and central disposal points provided.
  • Branding/signage must be within your booth dimensions.

⛔ Strictly prohibited

  • Counterfeit, illegal, or unlicensed products
  • Selling to or serving alcohol to minors
  • Open flames without prior approval (food vendors: pre-approved gas/induction setups only)
  • Aggressive sales tactics, harassment, or disrespectful behaviour
  • Smoking inside booths or in food prep areas

💰 Payments to vendors

  • You handle your own payments — cash, mobile money, or card via your own POS.
  • The Festival does not facilitate vendor sales transactions or take a cut.
  • We recommend having mobile money active and at least UGX 200,000 in change for the day.

Frequently Asked Questions

When is the deadline to apply?
Vendor applications close on 30 June 2026, or earlier if all stalls fill up. Popular booth sizes go quickly — apply early.
Can I change my booth size after applying?
Yes, but only before approval and only if the new size is still available. Email payments@ugandaonefestival.com with your tracking number. If the fee differs, you'll either pay the difference or receive a refund of the difference.
What happens if my payment isn't verified?
If we can't match your payment to your application (e.g. wrong reference, name doesn't match), we'll email you to request more details. If still unverifiable, you'll be asked to resubmit with the correct information.
Can I share a booth with another vendor?
Each booth is licensed to one registered vendor for legal and safety reasons. Two businesses sharing one space is not permitted. You can apply for adjacent booths if available.
Do I need to bring my own tent, table, and chairs?
Yes — vendors provide their own furniture and tent (where outdoors). We can recommend approved suppliers if needed. Premium booths in some sections come with basic infrastructure included.
Is electricity available?
Standard electricity hookups are available for most booths. High-draw equipment (commercial fridges, ovens, sound systems) requires advance notice. Generators are not permitted without prior approval due to noise and safety.
What payment methods can I accept at my booth?
Whatever works for you — cash, mobile money, card via your own POS device. The festival does not provide payment infrastructure for vendor sales. We strongly recommend having mobile money active.
Can I get a refund if I cancel?
Yes, on a sliding scale. See the refund schedule in our Terms & Conditions. 80% refund if you cancel 60+ days before; no refund if cancelling within 14 days.
What if I don't have a health certificate yet (food vendors)?
You can still apply, but you'll need to obtain one before approval is finalised. Reach out to your local KCCA division or Ministry of Health office — most certificates take 1–2 weeks to process. You can also pay our partnered health inspector at the event for expedited certification.
