1. Agreement & Acceptance
These Terms & Conditions ("Terms") form a legally binding agreement between you ("Applicant", "Participant", "you") and Uganda One Festival ("we", "us", "our"). They govern your application, registration, payment, and participation in Uganda One Festival 2026, scheduled for 7-11 December 2026 at Kololo Independence Grounds, Kampala, Uganda.
By submitting an application or otherwise participating in the festival, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy.
2. Definitions
- "Festival" means Uganda One Festival 2026.
- "Applicant" means any person or organisation submitting an application to participate.
- "Participant" means an Applicant whose application has been approved and confirmed.
- "Exhibitor" means a Participant displaying creative works, products, or projects in one of the festival's creative domains.
- "Vendor" means a Participant selling goods or services on-site.
- "Performer" means a Participant providing live entertainment.
- "Partner" means an organisation entering into a sponsorship or partnership agreement with the Festival.
- "Tracking Number" means the unique reference (e.g. VND-2026-XXXXX) assigned to each application.
3. Eligibility
To apply, you must:
- Be at least 13 years of age. Applicants under 18 must have a parent or guardian's consent.
- Provide accurate, current, and complete information in your application.
- Have the legal right to display, perform, sell, or sponsor as applicable to your application category.
- For vendors and exhibitors offering products/services, hold any required Ugandan business registration, trade licence, or sector-specific permits.
- For food vendors specifically, hold a valid health clearance certificate from the Ministry of Health, KCCA, or relevant local authority covering all food handlers.
We reserve the right to verify eligibility at any stage and to disqualify any applicant or participant who has provided false, misleading, or incomplete information.
4. Registration Process
- Application: Submit your application via the appropriate form at our registration portal.
- Confirmation: You will receive an email and SMS with a unique Tracking Number upon successful submission.
- Payment (vendors): Vendor applicants must pay the application fee corresponding to their selected booth size before approval.
- Review: Our committee reviews applications within 3–7 business days. Complex applications (partnerships, large groups) may take up to 10 days.
- Decision: You will be notified by email and SMS whether your application is approved, waitlisted, or unsuccessful.
- Confirmation of attendance: Approved applicants have 14 days to confirm their participation via the secure link in their invitation email.
- Allocation: Confirmed participants receive booth codes, performance slots, or partnership packages.
We reserve the right to reject any application at our sole discretion, including for reasons of capacity, alignment, or quality.
5. Fees & Payment
5.1 Application fees
Registration as an Exhibitor, Performer, or Partner is free. Vendor applications carry an application fee based on the vendor type and booth size selected. The exact fee is shown at the time of application and confirmed in the application receipt email.
5.2 Payment methods
We accept the following payment methods:
- Bank transfer to our designated account
- Airtel Money (merchant pay)
- MTN Mobile Money (business pay bill)
- Cash deposit at our office (during business hours)

5.3 Payment verification & approval
Vendor applications are only reviewed after payment is verified. Verification typically takes 1–3 business days from submission of payment details. We reserve the right to reject any payment that cannot be verified against our records.
5.4 Currency and taxes
All fees are quoted in Ugandan Shillings (UGX). Fees are inclusive of applicable taxes unless otherwise stated. International applicants paying via international bank transfer are responsible for any transfer charges and currency conversion fees.
6. Refunds & Cancellations
6.1 Application rejected
If your vendor application is rejected after payment has been received, the application fee will be refunded in full within 7 business days via your original payment method.
6.2 Voluntary cancellation by participant
If you cancel your participation:
- More than 60 days before the event: 80% refund
- 30–60 days before the event: 50% refund
- 14–29 days before the event: 25% refund
- Less than 14 days before the event: no refund
6.3 Cancellation by the Festival
If we cancel or postpone the entire festival for reasons within our control, you will receive a full refund. For force majeure events (see Section 12), refunds may be partial or replaced with credit toward future events.
6.4 No refund for misconduct
Fees are non-refundable where participation is terminated due to breach of these Terms, misconduct, or non-compliance with regulatory requirements.
7. Vendor Compliance
Vendors must comply with all applicable Ugandan laws, regulations, and festival-specific requirements:
7.1 All vendors
- Valid trade or business licence
- Fire safety acknowledgment — including providing a working fire extinguisher at your booth
- Signed liability waiver
- Compliance with on-site setup, branding, and operating-hour rules issued by the Festival
7.2 Food vendors (additional)
- Valid health certificate from Ministry of Health, KCCA, or relevant local authority
- Food handler permits for each staff member who will handle food
- Compliance with food safety, hygiene, and waste-disposal regulations
- Acceptance of on-site inspections by Festival staff and public health authorities
7.3 Service vendors (additional)
- Valid business operation licence for the specific service category
- Insurance coverage where the service involves customer interaction (e.g. makeup, photography)
Compliance documents must be submitted via the festival's secure portal. Failure to provide required documents by the deadline communicated by us may result in cancellation of participation without refund.
8. Conduct at the Festival
All Participants agree to:
- Conduct themselves professionally and respectfully toward staff, fellow participants, and attendees
- Comply with all setup, operating, and breakdown schedules communicated by Festival operations
- Respect booth, stage, and zoning boundaries — no expansion beyond your assigned area without permission
- Refrain from any unlawful, discriminatory, harassing, or unsafe behaviour
- Not sell counterfeit, illegal, or prohibited items
- Not play amplified sound beyond agreed times or volumes (performers and DJs included)
- Maintain cleanliness of your booth and adjacent common areas
- Comply with all health, fire safety, and security directives
Breach of conduct rules may result in immediate ejection from the festival without refund.
9. Intellectual Property
Your content: You retain all intellectual property rights to any creative work, products, performances, brand assets, or content you submit as part of your application or display at the festival.
Limited licence to us: By submitting an application, you grant the Festival a non-exclusive, royalty-free licence to use your submitted text, images, and brand assets for the limited purpose of evaluating your application, promoting the festival (including in printed programmes, social media, and press), and recording festival history. This licence applies for the duration of festival operations plus 24 months.
Festival branding: The "Uganda One Festival" name, logos, taglines, and event branding remain our property. You may not use them without our written permission.
10. Media & Image Release
You acknowledge that the Festival is a public event and that photographers, videographers, and journalists may capture footage including your image, booth, or performance. By participating, you grant the Festival and authorised media partners the right to:
- Capture photos, video, and audio of you and your activities during the event
- Use such media in festival promotional materials, social media, websites, press releases, and future event marketing
- Edit or adapt such media as needed for promotional purposes
If you have specific concerns about appearing in media (for example, religious or safety reasons), please notify media@ugandaonefestival.com at least 14 days before the event.
11. Liability & Indemnity
11.1 Your responsibility
You are responsible for:
- The safety of your own equipment, products, inventory, and personal belongings
- Securing your booth or staging area at all times
- Any damage caused by you, your staff, or your equipment to festival property or third parties
- Compliance with all applicable laws
- Adequate insurance coverage where required
11.2 Limitation of festival liability
To the maximum extent permitted by Ugandan law, the Festival is not liable for:
- Loss, theft, or damage to your goods, equipment, or personal property
- Indirect, consequential, or lost-profit damages
- Sales, revenue, or audience-size shortfalls relative to your expectations
- Weather, force majeure, or other circumstances beyond our reasonable control
Our maximum liability under these Terms in any event is limited to the total fees you paid for the current festival.
11.3 Indemnity
You agree to indemnify and hold harmless the Festival, its officers, employees, and agents from any claims, losses, damages, or expenses (including reasonable legal fees) arising from your participation, breach of these Terms, or violation of any applicable law.
12. Force Majeure
Neither party shall be liable for failure to perform any obligation under these Terms where such failure is due to causes beyond reasonable control, including but not limited to:
- Acts of God, natural disasters, severe weather
- Pandemics, epidemics, public health emergencies, or government public health orders
- War, terrorism, civil unrest, riots
- Government action, embargoes, or regulatory shutdowns
- Power, water, or critical infrastructure failures
If a force majeure event prevents the festival from being held as scheduled, we will, at our discretion, reschedule the event, issue partial refunds, or provide credit for future events.
13. Disputes & Governing Law
These Terms are governed by the laws of the Republic of Uganda.
Any dispute arising from these Terms shall first be resolved through good-faith negotiation. If unresolved within 30 days, disputes may be referred to mediation or arbitration in Kampala under the rules of the Centre for Arbitration and Dispute Resolution (CADER), or to the courts of Uganda having competent jurisdiction.
14. Changes to These Terms
We may update these Terms from time to time. The "Last updated" date at the top of this page indicates when changes were made. Continued participation after a change constitutes acceptance of the updated Terms. For material changes affecting your rights or obligations, we will notify you by email or a prominent notice on our site at least 14 days before the change takes effect.
